Japan’s luggage-forwarding services—often called takuhaibin or takkyubin—can remove a heavy suitcase from crowded stations and city transfers. The safest plan is to ask both accommodations whether they can send and receive the bag, confirm the carrier’s current delivery estimate, write the destination details exactly and keep everything needed until the suitcase arrives. Do not assume every route is next-day or that an unattended rental can receive a delivery.

01

Use forwarding when it removes a difficult transfer

Forwarding is especially useful between staffed hotels, before a one-night side trip, on a route with several station changes or when traveling with children. It is less useful when you need the bag again the same day, do not yet have a confirmed receiving address or are staying somewhere that cannot accept deliveries. For a few hours in one area, a coin locker or staffed storage counter may be simpler.

02

Confirm the sender and receiver before packing

Ask the sending hotel whether it handles luggage forwarding and which carrier it uses. Then confirm that the next accommodation has a staffed reception, accepts prepaid luggage and will store it before check-in. Provide the reservation name exactly as booked, the property’s full address and telephone number, and your check-in date. Vacation rentals and other properties without reception may require pickup at a carrier office instead.

03

Build in more time than the optimistic estimate

Delivery time depends on origin, destination, acceptance time, weather, traffic and the contents of the bag. Remote areas, islands and airport delivery can require additional lead time or special deadlines. Ask the service counter for the earliest reliable arrival date for that exact route. Send the bag early enough that a delay will not affect a flight, medication, an event or the next day’s clothing.

04

Pack a separate overnight bag before sealing the case

Keep your passport, wallet, medicine, electronics, chargers, travel documents, valuables and fragile items with you. Add toiletries, a change of clothes and anything needed until the confirmed delivery date. Remove prohibited or restricted contents and identify batteries, aerosols or liquids before an air-linked route. The carrier’s current acceptance rules and the counter staff’s decision control what can be shipped.

05

Complete the delivery slip carefully

Write the destination postal code, address, property name, telephone number, recipient or reservation name and requested delivery date clearly. Add your own reachable contact information and describe the contents truthfully. Ask staff to check the form if you are unsure. Photograph the completed slip and keep the customer copy because its tracking number and carrier contact details are your proof of shipment.

06

Pay, track and notify the next hotel

The fee varies by carrier, route and parcel size, so use the price confirmed at the counter rather than an old online estimate. Prepayment is usually easiest for hotel delivery. Track the shipment after acceptance and tell the receiving hotel that a suitcase is coming, especially if the reservation name differs from the shipping name. If the status does not update or the arrival window is missed, contact the carrier using the receipt.

07

Treat airport forwarding as a deadline-sensitive service

Airport delivery is not the same as ordinary hotel-to-hotel forwarding. Confirm the terminal, collection counter, flight date and required drop-off deadline, then bring the customer copy and accepted identification to collection. Never schedule the bag to arrive immediately before departure. Weather and traffic can delay delivery, so keep flight documents, valuables and essential travel items in your carry-on.

Choose the right luggage solution

Forward it, store it or carry it?

Forward the suitcase

Best for hotel-to-hotel travel, a difficult city transfer or a one-night side trip.

Use a coin locker

Best for a few hours when you will return to the same station and the bag fits.

Use staffed storage

Best for an oversized bag, special handling or a same-day collection.

Carry it yourself

Best when you need the full contents soon or the receiving property cannot accept deliveries.

A repeatable plan

Six steps from one hotel to the next

  1. Ask the sending hotel: confirm that it accepts luggage-forwarding requests and note the counter deadline.
  2. Ask the receiving hotel: confirm staffed reception, delivery acceptance and storage before check-in.
  3. Confirm the route: ask for the earliest reliable delivery date for the exact destination.
  4. Separate essentials: pack an overnight bag before closing the suitcase.
  5. Complete the slip: use the booking name, full address, phone number and check-in date.
  6. Keep and track: photograph the form, retain the receipt and watch the tracking status.

Prepare this destination card

1Property name

Use the official English or Japanese name shown on the reservation.

2Postal code and full address

Copy the confirmed accommodation address, including the building when applicable.

3Telephone number

Use the property’s direct number rather than a booking-platform support number.

4Reservation name and check-in date

Make it easy for reception to match the suitcase to the correct booking.

5Your reachable contact

Provide a phone number or other information accepted by the counter.

6Requested delivery date

Choose only a date the service confirms for the route.

Keep these out of the suitcase

Your one-night bag checklist

Documents and money

Passport, wallet, tickets, reservations and emergency contacts.

Health essentials

Medicine, glasses, medical devices and anything difficult to replace.

Phone kit

Phone, charger, power bank and the forwarding receipt.

Until-delivery items

Clothes, toiletries and weather gear for the confirmed arrival window plus margin.

Keep valuables, fragile items and irreplaceable documents with you. Ask the carrier about batteries, aerosols, liquids, alcohol and other restricted contents before shipping.

Before your flight

Airport delivery needs a separate plan

  • Confirm that the service covers your airport, terminal and collection counter.
  • Use the carrier’s airport-specific deadline rather than a normal parcel estimate.
  • Write the flight date, flight details and counter information exactly when required.
  • Bring the customer copy and accepted identification to collect the suitcase.
  • Keep everything required for the flight in your carry-on in case road or weather disruption delays delivery.

What to do when the plan changes

The hotel cannot receive it

Ask the carrier whether pickup at a staffed service center is available. Do not address it to a convenience store for collection.

The next stay is an apartment rental

Confirm staffed reception first. If none exists, use an accepted carrier office or keep the bag with you.

You leave before the delivery estimate

Do not send it. Use storage or carry it, then forward from a later staffed location.

Tracking has not updated

Use the number and contact details on the customer copy; ask the sending hotel for help if necessary.

Your itinerary changed

Contact the carrier immediately. A destination or date change may not be possible after acceptance.

You need only short storage

Use a coin locker, hotel storage or staffed counter instead of sending the bag away.
